Job Summary
The Branch Manager will be responsible for the effective and efficient running of the assigned Pharma/Retail branch, encompassing staff management, stock control, sales and revenue growth, and ensuring compliance with pharmaceutical regulations.
Job Responsibilities
Pharma Operations:
- Ensure strict compliance with Pharmacy and Poisons Board (PPB) regulations at all times.
- Screen prescriptions for legal validity, drug contradictions, interactions, appropriate dosage, frequency, duration, and patient convenience.
- Communicate with prescribers for medication clarifications as needed.
- Prepare and dispense medicines according to good dispensing practices and counsel patients on their use.
- Recommend Over-the-Counter (OTC) medicines for simple conditions and make necessary referrals.
- Organize the pharmacy for efficient product identification.
- Ensure timely communication with insurance companies for prescription approvals.
- Run Smart or Slade reports on all approved insurance prescriptions.
- Monitor and accurately record refrigerator temperatures as per standards.
- Regularly check for drug expiry dates and communicate two months in advance.
Company Stock and Asset Management:
- Maintain a detailed and up-to-date asset register in liaison with the finance team.
- Tag all physical assets with unique identifiers.
- Ensure all store equipment is functional and regularly serviced.
- Prevent asset misuse or damage through staff accountability.
- Regularly verify physical assets against records.
- Ensure accurate stock levels through regular cycle counts and full stock takes.
- Monitor stock movement (receipts, transfers, sales, expiries).
Customer Experience Oversight:
- Ensure a welcoming, clean, and well-organized store environment.
- Oversee prompt and courteous customer service.
- Monitor till and counter flow to minimize wait times.
- Serve as the first escalation point for unresolved customer issues.
- Investigate complaints and provide timely, empathetic resolutions.
- Document recurring issues and take corrective/preventive action.
People Management:
- Ensure adequate staffing levels to meet sales targets.
- Maintain a well-motivated team at the branch.
- Ensure team members follow operational policies and procedures.
- Liaise with HR for disciplinary issues and staffing requirements.
Administration:
- Ensure proper record-keeping at the branch level.
- Manage branch expenses with authorization.
- Ensure branch licenses and permits are up-to-date.
- Ensure all actions align with company policies and procedures.
- Participate in invoice arrangement and reconciliation with the finance team.
- Complete continuing education courses.
- Make entries into relevant inventory management records and registers.
- Network to improve the branch and company's presence and reputation.
Qualifications
- Must be registered with the Pharmacy and Poisons Board.
- Degree in Pharmacy from a recognized institution.
- At least 5 years of working experience in a similar position, preferably in a busy retail pharmacy setup.
- Must be computer literate and proficient in managing software programs.
- Good record-keeping and reporting skills.
- Demonstrated ability to work as a team player.
- Ability to work and deliver results with minimum supervision.
